Who owns the source code?

At Volcanic Minds we operate with a No Vendor Lock-in policy: we use standard, well-documented technologies so that you’re always free to choose. We provide everything you need (API access, Swagger/OAS documentation, repositories) to guarantee your complete independence, although we're confident you'll want to stay with us for the quality of our service.
Do you develop AI systems compliant with the AI Act or adapt existing ones?
Yes, both.
We design compliant AI systems from the first line of code and also intervene on existing solutions. For existing systems, we begin with a gap analysis regarding the requirements of Regulation (EU) 2024/1689, so we can plan only the truly necessary interventions without unnecessary rewrites. We treat compliance as a non-functional architectural requirement, not as a bureaucratic requirement added at the end of the project. How are development costs defined?
We don't provide off-the-cuff pricing because every Enterprise solution is unique. After an initial analysis phase, we supply a detailed, requirement-based quote to avoid surprises. The budget includes development, testing, launch, and handover.
Your quote will show a cost range, deadlines, payment terms, and detailed deliverables to immediately clarify gray areas and avoid misunderstandings. This way, you have a clear view of your costs so you can make informed decisions—whether moving ahead with the whole project at once or taking a gradual approach.
We also offer capacity-based plans, letting you allocate time even when specifications are not fully defined, so you won’t run into availability issues and your ROI will improve significantly.
Any recurring costs (hosting, third-party licenses) are disclosed up front, so you'll have a clear overview of your long-term TCO (Total Cost of Ownership).
How long does the development process take?
We don't set predefined deadlines, as timing depends on the complexity of the technological scope. However, our approach doesn't involve making you wait months in the dark before seeing something that works.

How do you measure the project's success and ROI?

Can you integrate with our systems (ERP/CRM)?
We specialize in integrating with existing systems (ERP, CRM, MES, MRP, APS, and many others). We have twenty years of experience. We interface via REST API, batch, WebSocket, MQTT, AMQP, and other secure procedures on modular architectures, ensuring that the new software seamlessly integrates with your digital ecosystem.
How do you select the Tech Stack?

Is possible to renew only the frontend of an existing ERP?
Absolutely, and that's exactly the decoupled (or headless) approach we adopted for this project. In practice, many companies have robust backends but outdated interfaces that slow down operations. By developing a modern frontend, we can "hook" into any pre-existing system via APIs. This cuts down on total rebuild costs, reduces technological risk, and allows for a modern, high-performance user experience to be launched quickly, extending the lifecycle of the enterprise software.
What happens after launch? Do you provide support, SLAs, and training?

Why should I integrate AI workflows and agents?
Although there's a lot of hype, it's important to equip yourself early with processes and tools that use AI as an "element" of your business, avoiding chasing the perfect "demo" or the miraculous chatbot.
In our experience, one of the most successful uses of complex agent systems and diverse workflows is when you can combine existing or legacy products (ERP, MES, MRP, APS, CRM, etc.) with the potential that AI offers, enhancing and maximizing human intervention.

Is our corporate data safe, or is it used by AI models?
This is a fundamental question and should be the first priority for any structured organization. Security levels vary significantly across different providers in the market.
A reliable technology partner does more than just offer the most popular solution; they design or implement architectures that ensure maximum data control, in full compliance with regulations such as GDPR or SOC 2.
In addition to selecting the right Enterprise Cloud services (which contractually guarantee that your data will not be used to train public models), we will proactively advise you when it may be strategically safer or more cost-effective to opt for a private, internal AI infrastructure (On-Premise).
Both paths have their pros and cons, and there are specific contexts where one makes more sense than the other. How do you ensure AI reliability for critical business processes?
Artificial intelligence is inherently probabilistic and creative in generating responses or choosing the right functions/tools. On the other hand, business processes require determinism and precision. We never connect an LLM directly to a database hoping it will do the right thing, although it's fascinating to watch them at work on a database.
We build agentic systems equipped with Guardrails and rigid validation systems: the agent is forced to reason according to inflexible data patterns. If the output does not comply with the rules imposed by the software, the system fails.
Furthermore, for high-risk processes or database write operations, we implement Human-in-the-Loop (HITL) flows, where the AI prepares, analyzes, and proposes the work, but final execution always requires human approval (the classic "click") on the platform.
What are the maintenance costs of a Multi-Agent AI system?
AI introduces new cost items that must be thoroughly analyzed. These costs can significantly impact a process or acquisition cost, so they must not only be analyzed in advance but also monitored.
You need to choose one or more models that can ensure optimal balance, properly segmenting and mapping when to use advanced models and when to use faster ones (there are several techniques for doing this). Then you need to understand how costs will change in the future and anticipate any changes. For example, if a new model is released, it sometimes offers an advantage at the same price, or if the system scales, sometimes a different model must be chosen. The good news is that you won't be alone in this process.
There is also the option of internalizing some processes on on-premise infrastructure, but always carefully analyzing the pros and cons.

The AI landscape evolves monthly; therefore, we never hard-code your business logic to a single provider (such as OpenAI, Google, or Anthropic). Instead, we implement abstraction layers that treat the AI model as a modular, "plug-and-play" component.
If a better or more cost-effective model hits the market tomorrow, we can swap the AI "engine" by updating specific, localized modules. This allows your system to evolve without the need for a full code rewrite, ensuring your workflows remain uninterrupted and your technology stays cutting-edge without sacrificing reliability.
How do you maintain control and track the decisions made by the AI?
We always recommend implementing advanced AI Observability (LLM Observability) tools. This ensures that every operation executed by an AI Agent creates an immutable trace. We track the exact context analyzed, the data extracted from your ERP or internal systems, the specific token cost, and the logical reasoning steps that led to the final conclusion.
This level of transparency allows us to monitor performance, verify compliance, and continuously optimize your processes. As your AI ecosystem grows, a robust observability framework is essential to maintaining AI governance and ensuring the system remains manageable as it scales.
Is AI Act compliance resolved through compliance reports?
No. Compliance with the AI Act isn't achieved by filling out a PDF or purchasing a dashboard license: theoretical obligations must be translated into concrete technical choices within the software. A tool can alert you to a risk, but it won't prevent an agent from violating a policy or writing to a database without supervision: that requires controls engineered into the system.
