Field technicians and service teams when ready-made software is not enough

From the customer's call to the invoice, without retyping a job report: when a ready-made product is enough, what it costs, what the law asks and which piece is worth building.

Ready-made or custom software to manage technicians and service calls?

Ready-made, for the part that is the same in every company: the schedule of service calls, the technician's app, the job report with photos and the customer's signature, the report sent automatically. Custom, for the piece that earns you money and that products do not follow, and often you only need to build that piece, next to the product.

On 31 October 2026 we put to Google, its AI Mode, ChatGPT and Perplexity, in Italian and in English, the case of an installation and maintenance company with 25 technicians and 15 vans that schedules by phone and in a spreadsheet, while the office retypes paper job reports to invoice. Every answer says to buy a ready-made product. Google's AI Mode puts it this way: building everything from scratch makes no economic sense unless your procedures are unique in the world.

We agree on the starting point, even though custom software is our job. If a ready-made product is enough for you, we tell you before the quote, even when it is a product we do not make. But almost all the answers stop there. Few say what to do when the product covers half of the work, and none mentions the rules on GPS in the vans. This guide starts from what is missing.

What should it do, from the call to the invoice?

It should follow the service call from the moment the customer phones to the moment they pay, without anyone retyping a single piece of data. The schedule alone is not enough: as ChatGPT wrote, your problem starts when the phone rings.

Moment Who does it What the software records
Call or request the office, or the customer through a form customer, equipment, urgency, maintenance contract if there is one
Scheduling whoever assigns the jobs technician with the right skills and certifications, van, date, expected time
Service call the technician, from the phone hours, materials and spare parts used, photos and notes, even without a signal
Job report the technician and the customer customer's signature on the phone and report sent automatically
Invoice the accounts office hours and materials passing to the accounting system without being retyped

Of the 124 pages we read, from Google results and the sources of the AI answers, 70 mention the job report and the customer's signature together, 55 working without a connection, 44 planned maintenance or contracts. These are the minimum features, and serious products have them. The difference lies in the last row: if hours and materials do not reach the management system on their own, you have only moved the paper onto a screen.

A digital job report is worth having if what the technician writes at the customer's site reaches the invoice without anyone retyping it. In the systems we build data passes to the accounting system without double entry, and if the network drops, events are queued and resynchronised when it comes back.

How much does ready-made field service software cost?

From 5 to 91 € per user a month, excluding VAT, on the public price lists we read on 31 October 2026. For 25 technicians that is 1,500 to 27,300 € a year, plus the office users where the price list counts them.

Product List price 25 technicians for a year
D-TEC, over 20 users 5 € per user a month, paid yearly 1,500 €
Nomadia, technicians' app 15 € per resource a month 4,500 €
Synchroteam Standard 39 € per user a month, paid yearly 11,700 €
Nomadia FSM Complete 85 € per resource a month 25,500 €
Microsoft Dynamics 365 Field Service 91 € per user a month, paid yearly 27,300 €

The price lists are those of D-TEC, Nomadia, Synchroteam and Microsoft, all in Italian. It is not a ranking: the price says little until you know what it covers. Between an app costing a few euros and a platform at 85-91 € what changes is automatic route planning, contracts, stock and the links with other systems. Before comparing two prices, ask what activation, the link to your management system and the office users cost.

And how much does custom software cost?

It depends on what you build: only the missing piece or the whole system. The figures you find online help little, because none has a source that measures them and they change with the language of the question: Google's AI Mode itself, in English, multiplies by four or five the figure it gives in Italian.

Who answers Custom Maintenance
Google's AI Overview, in Italian 15,000-40,000 € and more 2,000-4,000 € a year
Google's AI Mode, in Italian 30,000-70,000 €; 30,000-80,000 € the second time 15-20% of the development cost a year
Google's AI Mode, in English $120,000-350,000 and more $30,000-70,000 a year
ChatGPT, the same question twice in Italian 20,000-60,000 € the first time, 25,000-70,000 € the second 200-800 € a month the first time, 3,000-10,000 € a year the second
Perplexity, in English 60,000-160,000 € and more; 180,000-250,000 € and more with offline work, customer portal, GPS and management system 200-2,000 € a month
Volcanic Minds an MVP from 10,000 € in 6-8 weeks; an Enterprise platform from 45,000 € about 2,500 € a year for a simple management system, 5,000 € with integrations

An MVP is the first version that solves a single problem, but solves it in production: for example maintenance contracts with their deadlines, linked to the management system, next to the job report app you already use. A complete system, with a technicians' app that also works offline, scheduling, contracts, van stock and the link to the management system, costs more: the figure comes out of the analysis, within a range with the maximum written into the contract, as the guide on how much custom software costs explains.

We estimate maintenance on the work the software really requires, not as a percentage of the development cost, with hosting separate, as the guide on maintenance explains. On software we develop for you there is no license fee, so the cost does not grow with every technician you hire.

When is ready-made software not enough?

When the product covers the schedule and the job report, but not the work that earns you money. There are five signs, and each can be checked in a demo.

Sign What it means
Maintenance contracts live in a separate spreadsheet deadlines, fees and planned visits do not generate service calls on their own
Spare parts in the van are counted at the end of the month every van is a warehouse, and the software does not know it
The office retypes hours and materials into the management system the product does not talk to the accounting you use
You work in several trades, with different rules electrical, air conditioning and fire safety systems do not share deadlines or reports
Business customers ask to see their equipment they need their own access, with their history and documents

The most common case is the second one we put to the AI answers: a company with 12 technicians on boilers and air conditioners that already has a job report app, but not planned maintenance contracts, inspection deadlines and spare parts in the van, and no link to the management system. Google's AI Overview and AI Mode and Perplexity answer to switch to a sector app. ChatGPT warns that simply changing the job report app risks moving the problem without solving it, and suggests keeping the management system and putting next to it a system for contracts, deadlines and spare parts. Of the 124 pages we read, only 8 talk about stock in the van.

Often you do not need to redo everything: the job report app stays, and you build the missing piece, linked to the management system. The two roads can be combined, as the guide on custom or off-the-shelf explains. For people who work in the field we have already built these pieces:

Project What we did For people working in the field
Managing technical interventions the frontend, on the client's Figma mockups and linked to their backend a timeline view, by technician and by vehicle, that shows overlapping shifts and free vehicles at a glance
Resource and project planning the whole system, infrastructure included 42 professionals all over Italy log their hours from the phone, on 982 projects
Telecare monitoring and surveillance the whole interface, on the partner's backend the same interface in the control room, on tablets and on smartphones, day and night, with over 20 devices

Each project has its case study: managing technical interventions, resource and project planning and telecare monitoring and surveillance.

What does Italian law ask of those who service boilers and air conditioners?

Two obligations with a deadline, which the software must know because, if you miss them, you are the one who answers for it. After the energy efficiency inspection of a heating system, the technician fills in and signs an inspection report; one copy goes to the person responsible for the system, who attaches it to the system logbook, and one copy goes to the Region or autonomous Province at the intervals set by the decree (Presidential Decree 74/2013, article 8, in Italian). On equipment containing fluorinated gases, installations, leak checks, maintenance, repairs and decommissioning are reported to the F-gas database within thirty days of the work (Presidential Decree 146/2018, article 16, in Italian).

Obligation What the software must do
Energy efficiency inspection report fill it in from the service call data, have it signed and send a copy to the customer
Copy to the Region or Province prepare the submission to the regional register of heating systems, or at least remind you
Report to the F-gas database within thirty days flag every job to be reported and warn before the deadline
Periodic inspections generate the visit from the contract and the logbook, not from the memory of whoever schedules

On the boiler question, Google's AI Overview and AI Mode and Perplexity mention these obligations, and use them as an argument for the ready-made product: the vendor updates them for you. That is true, and a good reason to look at sector apps first. But it only holds if the app also follows the rest of your work: if contracts live in a separate spreadsheet, you miss the deadline anyway.

An obligation with a deadline belongs in the software as a rule, not in the memory of whoever schedules the work. Heating system registers change from region to region, and as with the whole guide this is a technical contribution, not legal advice.

Can you put GPS on technicians' vans in Italy?

Yes, but switching on the service is not enough. Under the Italian Workers' Statute, a tool that can lead to remote monitoring of workers may be used only for organisational and production needs, for workplace safety and to protect company assets, and only after an agreement with the trade union representatives or, failing that, with the authorisation of the Labour Inspectorate (article 4, in Italian). The Inspectorate has a dedicated form to apply for authorisation of satellite tracking systems.

Tool What article 4 asks
App the technician uses to fill in the job report it is a tool used to perform the work: no agreement or authorisation (paragraph 2)
Clocking in and out it records access and attendance: no agreement or authorisation (paragraph 2)
GPS on the van to plan routes or protect the vehicle union agreement or Inspectorate authorisation, before switching it on (paragraph 1)
Use of the data collected, for example to check hours only if the technician has been properly informed of how the tools are used and checks are carried out, in compliance with privacy law (paragraph 3)

GPS appears as a feature in 47 of the 124 pages we read and in 6 of 22 AI answers. No page and no answer mentions the Workers' Statute or the union agreement. If the job report app also records where the technician is during the day, that feature must be assessed separately.

Before switching on GPS, ask your employment consultant, not the software vendor: the vendor sells you the feature, the responsibility stays with you.

Where do you start?

From the point where a piece of data is written twice today.

  1. For a week, count the job reports the office retypes and how long it takes, and the calls made only to find out where a technician is.
  2. List the deadlines you cannot miss: periodic inspections, reports, F-gas submissions, contract renewals.
  3. Try two or three products with a demo on your real cases. For companies working on boilers and air conditioners, Perplexity suggested three: a boiler with its annual inspection, an air conditioner with F-gas and a van with 30-50 spare part codes. Above all, check how hours and materials pass to your management system.
  4. Start with a few technicians: Perplexity suggested 5 technicians and one coordinator for 30 days. Measure a few things: job reports reaching the invoice without being retyped, service calls closed the same day, deadlines met.
  5. If a product covers everything, take it. If it covers part of it, build only the missing part, next to it.

You start from the piece that costs the most hours today, not from the list of every feature. Starting small is often the road we recommend: a module in production tells you more than a specification.

An example: 25 technicians and 15 vans

An installation and maintenance company with 25 technicians and 15 vans schedules by phone and in a spreadsheet; job reports are on paper, and the office retypes them to invoice. It is the case we put to Google and the AI assistants. The figures below are made up, to be replaced with yours.

The first step is the count. With 60 service calls a day and 4 minutes to retype each job report, the office spends 4 hours a day retyping, before even looking for a lost or illegible report.

The second is the product. For 25 technicians an app at 5 € a month costs 1,500 € a year, a platform at 91 € costs 27,300. The cheap app handles the signed job report well, but maintenance contracts stay in a spreadsheet, and the spare parts in the 15 vans are counted at the end of the month.

The third is the missing piece, built next to the app: contracts and deadlines that generate service calls, the stock of each van drawn down from the job reports, and hours and materials passing to the accounting system. To start, the first is enough, contracts and deadlines linked to the management system. It is an MVP: with us an MVP starts from 10,000 € and takes 6-8 weeks, and we estimate maintenance of a management system with integrations at about 5,000 € a year. After two months of use you decide whether to add the van stock.

Frequently asked questions

All frequently asked questions
Do technicians need to be online all the time?

No, and you should check it in the demo, because in a basement or a boiler room there is often no signal. In the systems we build, when the requirements call for it, job reports and photos are queued on the phone and resynchronised when the network comes back.

Do you need an app to install?

Not always. We design for the phone rather than shrinking the office version; when the case requires it we develop native apps for iOS and Android from a single codebase, for example in React Native.

Does the software replace the management system?

No, it connects to it: customers, items and accounts stay in the management system, and the service software reads them and writes hours and materials back. So nobody copies the same data into two places.

Can I keep the job report app I already use?

Yes, if it handles job reports well. You build the missing piece next to it, for example contracts and deadlines, and the two systems talk to each other if the app exposes its data through an API or an export. Ask the vendor before you start.

Can I put GPS on the vans?

Yes, but under article 4 of the Italian Workers' Statute you first need a union agreement or, failing that, authorisation from the Labour Inspectorate, and technicians must be informed of how the data is used. It is a technical contribution, not legal advice.

Who owns the data and the code?

You do. On custom software, ownership of the code passes to you milestone by milestone, with no license fees. If you choose a ready-made product, ask first how the data is exported if one day you change vendor.
